- What does 'Unlimited Users' really mean?
1. Location-Based Licensing
Each subscription covers one physical location (single address, building, or clearly defined floor) with one reception or emergency report point. Multiple buildings, campuses, or distinct entry points require separate location licenses.
2. Unlimited Users (What It Means)
“Unlimited Users” means we do not charge per person or per seat. You may add as many human users as needed for normal business operations at that location.
3. Fair Use & Platform Protection
Unlimited Users is subject to Fair Use based on system usage, not headcount. Excessive activity (e.g., unusually high check-ins, uploads, or database activity far beyond a typical business environment) may be flagged to protect platform stability.
4. If Usage Exceeds Fair Use
If a location consistently exceeds standard usage thresholds, we may require an upgrade to additional location licenses or a custom/enterprise plan designed for higher traffic and dedicated infrastructure.
- Where is my data stored?
All customer data is stored exclusively in Google Cloud Platform's Canadian regions (Montréal and Toronto). We strictly adhere to data residency requirements for Canadian public sector and enterprise organizations.
We classify you as the Data Controller and MapleOffice as the Data Processor.
- How long do you keep data?
Data retention periods depend on your plan:
- Essentials: 15 Days (Transient logging)
- Professional: 60 Days (Quarterly reporting cycle)
- Enterprise: 1 Year (Full annual audit trail)
- Institutional: 2 Years+ (Long-term governance)
- Can I use this for fire drills?
Yes. The 'Emergency Muster' feature allows for a live roll call during evacuations. It shows everyone currently on-site (employees and signed-in visitors) and highlights who is unaccounted for.
