Maple Office Quick Start Guide
Get started with Maple Office today. Step-by-step tutorials for free sign-up, installing the Microsoft Teams app, and syncing your office presence.
Welcome to Maple Office! This guide will walk you through everything you need to get started, from signing up for your free trial to syncing your profile with Microsoft 365.
1. How to Sign Up (30-Day Free Trial)
Navigate: Go to mapleoffice.ca and click Login.
Authenticate: Select Sign in with Microsoft using your work email. This secure login respects your organization's existing MFA and security protocols.
Create Workspace: If you are the first user from your domain (e.g., @yourcompany.com), you will be prompted to create a new workspace and select a plan.
Admin Access: As the creator, you automatically become the Admin. You are now on a 30-Day Free Trial. Invite your team simply by asking them to log in!
Note: If you are unable to login, please contact your IT Admin to approve the Maple Office application.
2. Installing the Teams App
Find the App: Open Microsoft Teams, click + Apps, and search for "Maple Office" (published by FLW Connect Technologies Ltd).
Install: Click Add. The installation usually takes less than a minute.
Pin for Access: Right-click the Maple Office icon in your sidebar and select Pin for quick access.
First Run: A quick login is required the first time you open the tab.
Pro Tip: While the Teams app covers daily essentials, visit the web dashboard for advanced features like the Receptionist Module and Visitor Pass.

3. Updating Your Presence
Dashboard: Upon login, you will land on the Presence page (app.mapleoffice.ca/presence).
Set Status: Toggle your status to IN or OUT of the building.
Set Duration: Use the timer on the side to indicate how long this status applies (30 mins to 8 hrs). Once the timer expires, your status defaults to "Unknown."
Add Context: Use the comment box to add details (e.g., "In a client meeting" or "Working from cafeteria").
4. Microsoft 365 Sync Integration (Admin Only)
Admin Access Required: Only workspace administrators can connect Microsoft 365 Integration. Go to Admin Settings → Microsoft 365 Integration tab and click Connect to Microsoft 365.
Azure Admin Consent: You must be a Global Administrator in your Azure AD tenant to grant the required permissions. Azure will validate your admin status during the connection process.
Why Sync? Syncing with Microsoft 365 allows you to centralize status information—view Teams availability and Outlook "Out of Office" replies directly within the Maple Office Directory.
Benefits: This integration is critical for front desk teams and emergency/evacuation accountability, ensuring one accurate view of all staff locations.
One-Time Setup: Once an admin connects Microsoft 365, all users in your workspace benefit from the integration automatically.
Note: If you're not an admin but need this feature enabled, contact your workspace administrator to set up the Microsoft 365 integration.
5. Viewing & Refreshing Team Status
Directory: Go to the Directory or Favorites tab to look up a user.
Data Freshness: The system displays the last fetched status from Teams/Outlook.
Force Refresh: For the latest data, click the Refresh All button in the top right.
Note: To optimize system performance, there is a standard "cool-down" period between refresh requests. You cannot hit refresh continuously.
6. Syncing Your Profile
Navigate: Click your user profile icon (top right) and select Profile.
One-Click Sync: Click the Sync from Microsoft 365 button.
Result: Your Job Title, Department, and Profile Picture will automatically update in Maple Office to match your Microsoft account.
